Intended Audience
- Those who are interested in "What can I do with Josys?"
- IT department administrators considering the implementation of Josys
1. Centralized Employee Management (User Profiles)
The "User Profiles" menu in Josys is where you can centralize information for all employees in your organization.
From onboarding new hires to offboarding departing employees, you can manage each employee's information in one place within Josys.
If you use HR tools or IdP services, you can integrate them with Josys.
Once integrated, employee information is automatically updated, allowing you to maintain an accurate and up-to-date list at all times.
If you do not use these tools, you can also register users in bulk using a CSV file.
You can see at a glance which employee is using which device or SaaS application,
making the mapping between assets and people intuitive and reducing your management burden.
2. Centralized SaaS/App Management (Apps)
In recent years, the use of SaaS applications has increased in many companies.
Josys integrates with SaaS to visualize who is using which application.
For applications that support API integration with Josys, account information is retrieved automatically.
Depending on the application, you can also provision or delete accounts directly from Josys.
SaaS applications that do not support API integration can be registered manually,
allowing you to comprehensively track all SaaS applications used within your company in Josys.
For some applications, you can even track the access permissions of each user, helping you establish a proper SaaS management system.
3. Centralized Asset Management (Devices)
You can manage the entire device lifecycle management (LCM)—including procurement, assignment, collection, and disposal of PCs, smartphones, and other devices used in your company—using the "Devices" menu.
If you use MDM tools (such as Jamf Pro or Microsoft Intune), you can integrate them with Josys.
Device information is automatically imported into Josys, ensuring your list is always accurate and up to date.
If you do not use MDM tools, you can also register devices in bulk using a CSV file.
From procurement to collection and disposal,
you can consistently manage the entire device lifecycle within Josys.
This eliminates the risk of missing or untracked IT assets, giving you peace of mind in your operations.
4. Security Management
Josys addresses security concerns such as "not being able to fully track employees' SaaS usage" or "worrying about active SaaS accounts of former employees."
By installing the Josys Browser Extension provided by Josys, you can automatically discover the use of SaaS applications that are unknown to administrators (unmanaged apps).
Additionally, Josys automatically checks whether the SaaS accounts of offboarded employees have been properly deleted,
significantly reducing the risk of data leaks.
We also provide a "Scorecard" that lets you check your company's security level numerically, making it clear which areas need improvement.
5. IT Cost Optimization
Josys visualizes SaaS usage by linking it with license agreements.
This allows you to identify unused SaaS accounts or duplicate licenses, helping you optimize and reduce costs.
By utilizing the employee inventory survey feature, you can accurately grasp the actual usage of SaaS applications,
allowing you to eliminate wasted IT spending and make more strategic IT investments.
6. Dramatic Reduction and Automation of IT Administrative Tasks
Routine IT administrative tasks—such as onboarding/offboarding employees and assigning/collecting IT devices—require significant time and effort for IT departments.
Josys automates these tedious workflows to a large extent.
- For example, you can configure Josys to automatically provision the SaaS accounts required when a new employee joins the company.
- This is limited to applications that support API integration for account provisioning.
7. Employee Portal and Self-Service Promotion
You can set up a portal for employees,
allowing them to proactively request app access permissions and other resources.
You can set approvers for each application, distributing the administrative workload.
8. Custom Workflow Creation
By using the "Workflows" feature in Josys, you can flexibly digitalize and automate your company's unique IT asset management processes.
For example,
you can easily build complex workflows in Josys, such as "Once a request for a new PC is approved, automatically provision SaaS accounts and notify the kitting team."
By combining triggers, actions, and conditional branches to automate and standardize previously manual processes, you can reduce operational errors and significantly increase processing speed.
