With recent updates, the term "Member" on the screen is gradually being changed to "User." If you still see "Member" in some parts of this help documentation, please read it as "User." For more details on this change, please refer to this announcement.
Overview
By integrating NinjaOne, you can automate the addition and updating of devices. Device information from NinjaOne can be imported into Josys's Devices ledger, serving as the master data for your device inventory.
Key Features
- Imports device information from NinjaOne into Josys's Devices ledger.
- If a device does not match any existing device in Josys, it is automatically imported from NinjaOne as a new device.
Synced Fields
In Josys, you can select which fields should prioritize NinjaOne's information during synchronization. The fields configured here will always be overwritten in Josys's Devices ledger with the data from NinjaOne.
You can select from the following five fields:
- Device Display Name
- Device Name
- Manufacturer
- Device Models
- OS
Other Retrieved NinjaOne Fields
For devices synced with NinjaOne, the following fields will be displayed on their details page. These fields always prioritize the latest values from the MDM. If the integration with NinjaOne is disconnected, these fields will be removed from Josys.
| Field Name | Description |
|---|---|
| Device Name | - |
| UUID | A unique ID automatically assigned to each device in NinjaOne. |
| Enrolled Date/Time | The date and time when the device was enrolled in NinjaOne. |
| Last Check-in Date/Time | The date and time of the last sync between NinjaOne and the device. |
| Primary User Email / UPN | The email address is prioritized; if empty, the UPN (User Principal Name) is retrieved. |
| Disk Capacity | If the value is "0", it is treated as empty. The unit is GB. |
| Enrollment Status | The enrollment state of the device. Possible values are: notRegistered, registered, revoked, keyConflict, approvalPending, certificateReset, notRegisteredPendingEnrollment, unknown. |
Integration Steps
Starting the External Data Sources Integration
- Go to "Settings > External Data Sources" in the left sidebar of Josys.
- Open the [IT Devices] tab and select NinjaOne.
- Click the Integrate button.
1. Select Integration
If you have integrated multiple NinjaOne tenants or accounts, select which integration you want to use to sync with the Devices ledger.
2. Select Matching Key
Select the key to link devices in Josys with devices in NinjaOne. The following two fields are available as matching keys:
NinjaOne Options
- Serial Number
- UID
Josys Options
- Serial Number
- Asset Number
If the values set for the matching key match between Josys and NinjaOne, the devices will be linked as the same device.
If they do not match, they will be treated as new devices, and new records will be registered from NinjaOne.
3. Select Asset Number Assignment Method
NinjaOne devices that do not match existing devices in Josys using the specified matching key will be imported into Josys as new devices.
Configure the value to be assigned as the asset number. You can choose from the following two methods:
1. Use NinjaOne field values as the asset number
- UID
- Serial Number
2. Configure auto-numbering rules
Set a prefix. Asset numbers will then be automatically generated sequentially starting from 1.
4. Configure User Mapping
In Josys's Devices ledger, you can manage "device users." Reference: Assigning and Unassigning Devices
With this integration, you can match the email address of the user assigned in NinjaOne with the User Profiles in Josys, and reflect them as the device user in Josys's Devices ledger.
If you want to enable this, check the box for "Automatically assign devices to users."
5. Data Overwrite Settings
In Josys, you can select which fields should prioritize NinjaOne's information during synchronization. The fields configured here will always be overwritten in Josys's Devices ledger with the data from NinjaOne.
You can select from the following four fields. Choose the fields you want to overwrite:
- Device Display Name
- Device Name
- Manufacturer
- OS
6. Final Confirmation
Review your settings and complete the setup.
Screens After Integration
Details Screen
A section for NinjaOne fields is added at the bottom of the screen.
Device List Screen
"Source" and "NinjaOne Fields" will be available as display columns and filter options.
Behavior After Disconnecting Integration
If you disconnect the NinjaOne integration, you can choose whether to delete the synced devices from Josys's Devices ledger or keep them in Josys.
If you keep them in Josys, the device source will change to "Josys," and all fields displayed under "NinjaOne Fields" will be removed from the screen.
FAQ
What happens if there are duplicate matching keys on the NinjaOne side?
During data synchronization, the first device returned from NinjaOne will be linked to the device in Josys. Any subsequent devices will be created as new devices based on your asset number assignment rules.
What should I do if serial numbers do not match correctly and duplicate devices are created by mistake?
Since devices syncing with NinjaOne cannot be deleted, you will need to delete the device originally registered in Josys and use the device imported from NinjaOne.
You can easily transfer assignment history by exporting and importing it via CSV files.
What happens if I edit the serial number used as the matching key after the device is linked with NinjaOne?
After the initial sync and match, the device in Josys is assigned the UUID of the linked NinjaOne device. Therefore, even if the matching key is edited, duplicate devices will not be imported again.
What happens if there is an asset number conflict (e.g., the asset number mapped from NinjaOne already exists in Josys)?
A new device record will be created with the prefix "SYS", and "SYS + sequential number" will become the asset number of the newly created device.
What happens if the asset number mapped from NinjaOne is blank?
If the asset number is blank, an asset number starting with "SYS + sequential number" will be generated.
If I delete a device in NinjaOne, will it also be deleted from Josys's Devices ledger?
No, it will not be deleted from Josys's Devices ledger. The synchronization will be disconnected, and the device will remain in Josys as if it were registered manually.
